Workflow automation, in everyday words.

A quick reference for the terms you may hear when discussing how work moves through a small business. These definitions explain general concepts, not a promise that a tool or automated process is currently connected.

THE GLOSSARY

A few useful building blocks.

Start with the words that describe how information and responsibility move.

Automation/aw-tuh-MAY-shun/
Software carrying out defined, repeatable steps after someone has set up the process and its rules. Automation can handle routine steps; a person may still need to make decisions or review unusual situations.
Workflow/WURK-flow/
A series of steps that moves a piece of work from its starting point to a clear next step or finish. A workflow can be handled by people, software, or a mix of both.
Trigger/TRIG-er/
An event or condition that signals a configured workflow to begin. It marks a starting point; it does not decide whether every later step is safe or appropriate.
Condition/kun-DISH-un/
A check in a workflow’s rules that looks for a specific fact, such as whether required information is present, and helps determine what should happen next.
Branch/branch/
A point where a workflow can take different paths depending on a condition. For example, complete information might continue while missing information waits for a person to review it.
Integration/in-tuh-GRAY-shun/
A configured connection that lets two software tools exchange specific information. The tools, permissions, and setup all need to support that connection.
Data mapping/DAY-tuh MAP-ing/
Matching a piece of information in one tool with the corresponding field in another, so each value lands in the right place and keeps its intended meaning.
Queue/kyoo/
A list of work items waiting for attention, often organized by priority, order, or who is responsible for the next step.
Audit trail/AW-dit trayl/
A record of important events or changes over time. It can help someone review what happened, though a record by itself does not prove that an action was correct.
Handoff/HAND-off/
The point when responsibility for a task moves to another person or system. A useful handoff includes enough context for the next owner to continue.

A PRACTICAL NEXT STEP

Send one task for a written review.

Free written workflow review. No call required. Send one task you’d like to simplify, how your team handles it today, and the software you use. You’ll get a one-page recommendation. No purchase required. Please do not send customer or patient records.

Submitting the form starts a conversation; it does not connect tools or start automation.
